Administration assistant (M/F/N)

For our head office in Angleur (Liège area), we are currently looking for an:


You will be responsible for supporting all departments in their administrative tasks such as travel organization, calling customers, welcoming visitors, organizing events. Beside these tasks you will be responsible for financials tasks such as invoicing, payment follow-up, …

What you will do:

  • Organising and coordinating the collection, processing and transmission of information, correspondence and contracts,
  • Receive, filter and pass on telephone calls
  • Take care of the administrative side of personnel management: in particular social documents with the help of the social secretariat, training plans and individual objectives, etc.)
  • Updating the company's management charts using information available from several sources (accounts, resources, etc.),
  • Organising meetings, conferences, seminars, trips and events both within the company and for customers and prospects
  • Taking care of the administrative side of preparing customer invoices (gathering information and supporting documents, monitoring the approval cycle, checking the payment schedule, reminding debtors, etc.).
  • Helping to improve internal communication and continuity between the 2 sites (drafting newsletters, monitoring inter-site requests, etc.).
  • In coordination with the managers responsible for external communication, update the website and LinkedIn page.
  • Prepare reports on certain internal meetings and activity reports based on available information
  • Set up and maintain certain filing and archiving systems
  • Ensure the supply of various materials


Profile and Requirements:

  • Good communication skills, excellent knowledge of French, Dutch, English (German is a plus)
  • Organizational and planning skills, with attention for details
  • Team player with a creative mind
  • Stress tolerant and customer orientated, with good presentation skills
  • You learn fast
  • Strong problem-solving skills with attention for details, and willingness to roll up one’s sleeves to get the job done
  • Similar experience of more than 3 years
  • Fluent in English and French, Dutch / German is a plus
